The Deal Between Us
Everything below sets out what you can expect from HealthGridERP and what we expect back. Subscribing to the platform means agreeing to it, so it is worth the ten minutes.
1. Agreeing to These Terms
Opening an account, starting a trial, paying an invoice or simply logging in counts as accepting this agreement. Whoever does so on your side is confirming they have the authority to commit the hospital to it. If any part of it does not work for you, the right move is to stop before you put patient data in — not after.
2. What You Get
HealthGridERP is a hosted hospital management platform. OPD and IPD, billing and GST invoicing, pharmacy and inventory, diagnostics, AI-assisted prescriptions and WhatsApp appointment booking all sit in the same workspace.
- Which modules you can open depends on the plan you are paying for. Upgrades take effect straight away.
- Enterprise agreements carry a 99.9% uptime commitment. Planned maintenance is announced in advance and does not count against it.
- We improve the product continuously. Occasionally that means a feature is redesigned or retired; anything disruptive is flagged to admins first.
- The software helps clinicians work — it does not practise medicine. Clinical judgement stays entirely with your doctors.
3. What We Ask of You
- Whatever your team types in is yours to get right. We store records faithfully; we cannot vouch for their accuracy.
- Logins belong to one person each. Sharing them defeats the audit trail and makes a breach impossible to trace.
- Give every staff member the access their role needs, and no more.
- Do not decompile the platform, probe it for weaknesses without our written consent, or resell access to it.
- Only send WhatsApp messages to patients who have agreed to receive them, and hold the licences your jurisdiction requires.
- Tell us quickly if you suspect an account has been compromised, so we can help contain it.
4. Paying for It
- Subscriptions renew automatically, monthly or yearly, until you tell us to stop.
- Prices are exclusive of GST and other applicable taxes, which appear on the invoice.
- If a payment fails you get a 15-day grace period. Past that the workspace is suspended — suspended, not deleted; your data waits for you.
- You can cancel whenever you like and keep the service to the end of the paid term. Fees already paid are not refunded except where our Refund & Cancellation Policy says otherwise.
- Rate changes are notified at least 30 days before your next renewal, so you always get a chance to decide.
5. Who Owns the Data
Your records stay yours. Every patient file, prescription and invoice created in your workspace belongs to your hospital — we merely hold it as data processor, acting on your instructions and nobody else's. We do not mine it, sell it, or use it to train anything.
You can export it at any time while your subscription is live. The Privacy Policy goes through storage, retention and sub-processors in detail.
6. Where Our Liability Ends
We build software; we do not diagnose, prescribe or treat. Anything the platform suggests — including AI-assisted output — is a prompt for a qualified clinician to weigh, never a substitute for their judgement. Responsibility for clinical decisions and patient outcomes rests with the treating practitioner and the hospital.
We are also not answerable for lost profit, lost goodwill or indirect losses. In any claim, whatever its basis, our total liability is capped at the subscription fees you paid us in the twelve months before it arose.
Nothing here limits liability that Indian law does not permit us to limit — fraud and wilful misconduct among them.
7. Changes to These Terms
These terms will be revised as the product and the law move. Minor wording fixes appear here with a fresh date at the top. Anything that materially changes your rights or costs is emailed to account admins at least 30 days ahead, and carrying on with the service after that date is how you accept it.
This agreement is governed by Indian law, and the courts of Pune, Maharashtra have jurisdiction over any dispute arising from it.
